Personality Assessment and Psychometric Data


As part of our Virtual Assistant screening process, We administer personality assessments based on the Big Five personality framework using validated psychometric instruments (such as the International Personality Item Pool or similar assessment tools). These assessments help Us evaluate candidate suitability for specific roles and improve the quality of our matching services.

The personality assessment data We collect includes:

We may share match percentage scores and compatibility tier information with Clients, but individual assessment responses and raw personality trait scores are not shared with Clients unless you provide explicit consent.


AI-Powered Screening and Automated Processing


We use artificial intelligence and automated processing tools as part of our screening and matching services. These tools help Us evaluate candidates more efficiently and improve the quality of our matches. The AI and automated processing tools We use include:

•       Automated Resume Screening (ATS): We use automated systems to screen resumes against role-specific criteria, including experience requirements, education qualifications, and skills. This system may automatically advance, flag for human review, or decline applications based on predetermined criteria.

•       AI-Powered Interview Platform (heymilo.ai): We use heymilo.ai to conduct scenario-based video interviews. These interviews are video recorded, and transcripts are automatically generated and stored. Both Match n Fizz and heymilo.ai have access to interview recordings and transcripts.

•       AI Response Analysis (Claude API): We use Anthropic's Claude API to analyze open-ended interview responses and resume content to evaluate candidate qualifications, communication skills, and suitability for roles.

•       Matching Algorithm: Our proprietary matching algorithm uses multiple data points—including personality assessment scores, experience, skills, and interview performance—to calculate compatibility scores between Virtual Assistants and available roles or Client requirements.

You have the right to request human review of any automated decision that significantly affects you, and you may contact us at matchme@matchnfizz.com to request such review.


Video Interview Recordings and Transcripts


As part of our Virtual Assistant screening process, We conduct video interviews through our third-party interview platform (heymilo.ai). By participating in these interviews, you consent to the following:

•       Video and audio recording of your interview session

•       Automated transcription of your interview responses

•       Storage of recordings and transcripts by both Match n Fizz and our interview platform provider

•       Analysis of your responses using AI tools to evaluate qualifications and fit

•       Sharing of recordings, transcripts, or summaries with Clients as part of the matching process (with your consent)

Interview recordings and transcripts are retained in accordance with our Data Retention Policy described below.


Job Applicant Data Collection


When you interact with our Website in relation to your job application (for employment with Match n Fizz itself, as distinct from Virtual Assistant placement), We automatically collect certain information including browser data, cookies, and usage information to support security and analytics purposes. This data collection helps Us maintain the integrity of our application process and improve Our Services.

In addition to the information described above, when you apply for employment opportunities with Us, We collect personal data from job applicants during our recruitment process. We collect Personal Data from Clients and Prospective Clients when a Client visits our Website and begins to use Our Services as well as through requests from a Client to engage Virtual Assistants through our Website. We may record, monitor, and transcribe your audio and video calls with Us or with third parties, or between Clients and Virtual Assistants, to help document your activities, ensure compliance with terms of service, or to be used for our quality assurance or training purposes.

For interviews and communications between Clients and Virtual Assistants conducted through our platform, We record video and audio for the following purposes:

•       Quality assurance and dispute resolution

By using our platform for Client-Virtual Assistant communications, both parties consent to such recording. Recordings are retained in accordance with our Data Retention Policy described below.

"Profiling" means any form of automated processing of personal data to evaluate certain personal aspects relating to you, in particular to analyze or predict aspects concerning your professional performance, reliability, or behavior.

•       Calculating compatibility scores (expressed as percentages) based on personality assessments, experience, skills, and other factors

•       Assigning match tiers (such as compatibility level indicators) based on calculated scores

•       Job applicants (for Match n Fizz employment): Two (2) years from date of application

•       AI-processed data (Claude API analysis results): Same retention period as the source data analyzed

•       Interview recordings and transcripts: Same retention period as associated applicant/Virtual Assistant data

•       Website usage data and analytics: Thirteen (13) months

When personal data is no longer needed for its original purposes and We are not required to retain it for legal or regulatory compliance, We will securely delete or anonymize such data. This ensures that personal information cannot be used to identify individuals when it is no longer necessary for our business operations.
